President
- Schedule board meetings as needed (at least 4 per year)
- Prepare an agenda for board meetings and annual meeting
- Lead board meetings and annual meeting
- Review and vote on HOA action items
- Serve as the point of contact for homeowner questions/concerns
- Complete action items as required
- Maintain HOA governance files
Vice President
- Fulfill duties of President in his/her absence
- Review and vote on HOA action items
Treasurer
- Pick up mail from the HOA P.O. Box
- Pay neighborhood invoices as needed
- Reconcile bank account- monthly
- Provide closing letters when requested
- Prepare annual budget, forecast, financial reports
- Maintain HOA files of invoices, service contracts, bank records, tax returns
- Prepare presentation for annual meeting
- Review and vote on HOA action items
- Complete action items as required
Secretary
- Take and publish minutes of annual meeting and board meetings
- Monitor HOA email weekly and take action as required
- Send out HOA communications such as newsletters and directory
- Maintain HOA files of minutes and communications
- Maintain and monitor neighborhood social media
- Review and vote on HOA action items
- Complete action items as required
Architectural Control Committee
- Maintain aesthetic standards throughout neighborhood
- Educate neighborhood about expectations
- Monitor neighborhood for violations
- Fairly enforce standards outlined in governing documents
- Notify homeowners who are violating standards
- Review ACC approval forms from homeowners proposing improvements or changes to their property and communicate decisions
- Maintain records of violations, ACC approval requests and decisions
- Serve as a point of contact for homeowner questions or concerns relative to the ACC or covenants
